At Nick’s Custom Designs, we build heirloom-quality pieces and the stories that live around them — truly one-of-a-kind tables, built to be part of your life for decades.

Please review these Terms & Conditions carefully. By placing an order, approving a design, or paying an invoice, you agree to the policies outlined below.

1. Overview

These Terms & Conditions (the “Terms”) govern all custom furniture orders placed with Nick’s Custom Designs (“we”, “us”, or “our”). They are designed to protect both our clients and our craftsmanship-focused, made-to-order process.

Our work is premium, highly customized, and not a budget or mass-produced service. Every piece is built to order and tailored to your space, aesthetic, and functional needs.

2. Custom Nature of Work & Uniqueness of Wood

Every table and furniture piece we create is one-of-a-kind. No two slabs, boards, or finished pieces will ever be identical — and that is a core part of the value we provide.

  • Natural variations in grain, color, knots, checking, and texture are expected and embraced.
  • Reference photos or inspiration images are guides only, not exact replicas.
  • Stain, finish, and final tone may vary slightly from samples due to natural wood characteristics.
  • Live-edge and solid wood pieces will have organic imperfections that contribute to their character.

3. Design Approval Process

We believe in a collaborative, high-touch experience. Before we begin production, you will review and approve the design and key specifications in writing.

  • Design approval may include drawings, dimensions, finish selections, and hardware choices.
  • You are responsible for confirming that dimensions are appropriate for your space, including doorways, elevators, and stairwells.
  • Written approval (email, text, or signed document) is required before your project enters the production queue.
  • Changes requested after approval may affect pricing and timeline and must be confirmed in writing.

4. Pricing & Payment Terms

Our pricing reflects premium materials, meticulous craftsmanship, and a highly personalized process. All pricing will be provided in a written estimate or invoice before work begins.

  • A non-refundable deposit of sixty-five percent (65%) of the total project price is required to secure materials and reserve production time.
  • The remaining thirty-five percent (35%) is due upon completion and prior to delivery or pickup, unless otherwise agreed in writing.
  • All invoices are payable in the currency and by the methods listed on your invoice.
  • Projects may be subject to additional charges if scope, materials, or design are changed after approval.

5. Non-Refundable Deposit Policy

Because each piece is custom designed and built specifically for you, all deposits are strictly NON-REFUNDABLE.

  • Once your deposit is received, we immediately begin allocating materials, time, and design resources to your project.
  • Deposits compensate for design work, project planning, and the custom nature of ordered materials.
  • If you choose not to proceed for any reason, the deposit remains non-refundable.

6. Production Timeline (Quality Over Speed)

Our priority is craftsmanship and longevity, not rushing pieces out the door. Estimated lead times will be provided at the time of booking and are always good-faith estimates, not guarantees.

  • Typical production timelines range from [X–Y weeks] depending on scope and current workload.
  • Factors such as material availability, finish curing times, and design changes can extend timelines.
  • We will provide progress updates throughout your project and notify you of any significant changes to the schedule.

7. Cancellation Policy

Because our work is fully custom, cancellations have different implications depending on where your project is in the process.

  • Before production begins: You may cancel the project, but the 65% deposit remains non-refundable.

  • After production has begun: You may cancel, but you are responsible for all work and materials to date. At minimum, the 65% deposit will be retained and may not cover all costs incurred.

  • If you fail to respond or approve final details for more than [7 days], we may treat the project as abandoned and enforce storage or cancellation terms.

8. Refund Policy

Due to the custom, made-to-order nature of our work, we maintain a strict no-refund policy except where required by applicable law.

  • Deposits are non-refundable in all cases.
  • Completed custom pieces are non-returnable and non-refundable once delivered or picked up.
  • If there is a confirmed defect in craftsmanship (not related to natural wood behavior or misuse), we will address it under our Warranty & Craftsmanship Guarantee rather than through a refund.

9. Delivery & Pickup Responsibilities

We will coordinate delivery or pickup once your final payment has been received and your piece has passed our internal quality checks.

  • Delivery fees, if applicable, will be quoted in advance and must be paid prior to scheduling.
  • You are responsible for ensuring clear, safe access to the installation area (including parking, elevators, and stairways).
  • If delivery is unsuccessful due to site inaccessibility or unsafe conditions, re-delivery fees may apply.
  • For client pickups, you are responsible for proper securing and safe transport of the piece once it leaves our possession.

10. Warranty & Craftsmanship Guarantee

We stand behind the quality of our craftsmanship. Nick’s Custom Designs offers a limited craftsmanship warranty for a period of [X months/years] from the date of delivery or pickup.

  • This warranty covers defects in workmanship such as loose joinery or structural failure under normal residential use.
  • This warranty does not cover normal wear and tear, scratches, dents, stains, or damage caused by misuse, abuse, or improper care.
  • Because wood is a natural material, some movement is normal. Minor expansion, contraction, hairline cracks, or seasonal gaps are not considered defects.
  • Exposure to extreme temperatures, humidity changes, or direct sunlight can affect wood movement and finish longevity and is not covered by this warranty.

11. Natural Wood Movement & Exclusions

Solid wood is a living material that reacts to its environment. Even after it becomes furniture, it will continue to move with changes in temperature and humidity.

  • We are not liable for cupping, bowing, cracking, or warping caused by environmental conditions in your space.
  • Placing furniture near heating/cooling vents, fireplaces, radiators, or in direct sunlight increases the risk of wood movement.
  • Using the piece outdoors, in bathrooms, or in unconditioned spaces voids any warranty related to wood movement.
  • You acknowledge and accept that some degree of movement and character change is inherent to natural wood furniture.

12. Care & Maintenance Responsibilities

Proper care is essential to maintain the appearance and performance of your piece. We will provide general care guidelines tailored to your finish and wood type.

  • Use coasters, trivets, and placemats to protect from heat, moisture, and staining.
  • Clean with a soft, slightly damp cloth and avoid harsh chemicals or abrasive cleaners.
  • Maintain stable indoor humidity where possible and avoid placing furniture in direct sunlight.
  • Failure to follow care guidelines may void aspects of your warranty related to finish or movement issues.

13. Storage Fees After Completion

We have limited space in our shop and aim to keep projects moving smoothly for all clients. Once your piece is complete, prompt pickup or delivery is required.

  • You agree to schedule delivery or pickup within 7 calendar days of being notified that your piece is ready.
  • After 7 days, storage fees of [$$ per day] may apply until the item is picked up or delivered.
  • If storage exceeds [X days], we reserve the right to take additional steps, including resale or other disposition, to recover outstanding balances and fees.

14. Intellectual Property Rights

All original designs, drawings, concepts, and processes created by Nick’s Custom Designs remain our intellectual property, even when created for your project.

  • We reserve the right to photograph, share, and promote completed work (excluding confidential client information) in our portfolio, social media, and marketing materials.
  • You may not reproduce, resell, or mass-manufacture our designs without our prior written consent.
  • Any logos, brand marks, or proprietary details of Nick’s Custom Designs may not be altered or removed without permission.

15. Limitation of Liability

To the fullest extent permitted by law, Nick’s Custom Designs shall not be liable for any indirect, incidental, special, or consequential damages arising out of or related to our products or services.

  • Our total liability for any claim shall not exceed the amount you paid for the specific product or service at issue.
  • We are not responsible for damages resulting from improper installation by third parties, misuse, accidents, or alterations made after delivery.
  • Some jurisdictions do not allow limitations on implied warranties or exclusion of certain damages, so these limitations may not apply to you.

16. Client Experience & Communication

We pride ourselves on a collaborative, transparent, and enjoyable process — from first conversation to final delivery.

  • We provide progress updates at key stages (design confirmation, material selection, build progress, and finishing).
  • You agree to respond to questions, approvals, and scheduling messages within a reasonable timeframe so we can keep your project moving.
  • We welcome your input and questions, but final construction decisions will align with structural integrity, safety, and best woodworking practices.

17. Agreement Acceptance

By placing an order, paying a deposit, approving a design, or proceeding with any services from Nick’s Custom Designs, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
